On the first day of work after the holiday, there are so many things to do, and every task is related to the smooth development of foreign trade business in the new year. Everyone must implement the following key matters as soon as possible.

1. Arrange orders during the holidays: After a long holiday, some customers who place orders during the holiday must arrange production one by one as soon as possible to avoid delivery problems caused by personal negligence that production cannot be arranged in time after the holiday.

2. Follow up on the progress of delivery orders before the New Year: If the order before the New Year has not been delivered, it is necessary to follow up on the progress of the relevant departments after receiving the goods to avoid the corresponding colleagues missing the original orders in their hands after the holiday under the urging of other urgent orders.

3. Update the start-up information: Carefully prepare an email or message for the first group after the Spring Festival, send sincere New Year greetings to customers, and provide the company's latest developments. At the same time, we update relevant information on social media, show the vibrant corporate culture and exciting activities during the Spring Festival, increase interaction and exposure, and let customers feel our enthusiasm and professionalism. For example, express it in an email like this: “Dear customers, the Spring Festival has passed, and we are excited to announce that our company officially resumed business on [6th-Feb-2025]. We sincerely thank you for your trust and support in the past year.”

Social media Facebook, Linkedin, Twitter (X), And that can be accompanied by happy photos of the company team's Spring Festival party, plus a warm text: “Back to work with full energy after the Spring Festival! Looking forward to a great year of cooperation with you all.”

4. Check and reply emails:

1) Check and reply to customer emails accumulated during the holidays on time. These emails may include new order inquiries, product problem consultations, or cooperation matters. In particular, remember to feedback to customers on the details of the holiday promises you made to customers and confirm with your colleagues as soon as possible. For example: A customer asked you a technical question during the holiday, and you didn’t know how to reply at the time. Tell the customer, Let me check when I get back into the office. Don’t think that the customer has not asked us yet, and this matter is over. Remember to take the initiative to ask the relevant technical staff and fight back against the customer.

2) Categorize the emails, give priority to replying to urgent and important emails, and ensure that the customer’s problems are solved promptly. For example, for the customer’s order confirmation email, you can reply by saying: "Dear [Customer's Name], we have received your order confirmation. We are now processing it and will keep you updated on the progress."

3) For customers who were not able to respond in time during the holidays, remember to express your sincere apologies and respond to their requests promptly. "Dear [Customer's Name], Sorry for my late reply. Since we just back from the CNY holiday today, I just noticed your information, Please accept my sincere apology. We are now processing it and will keep you updated on the progress." (Remember to add the corresponding reply to the customer's request in the email at that time)

5. Update customer information: fully update customer contact information and order status information, including order production progress, delivery date, logistics tracking, etc.

1)  if customer A's order was originally scheduled to be shipped on March 5, when the information is updated, the production progress is found to be ahead of schedule, and the customer can be informed in time: “Dear Mr./Ms. [Customer's Name], we are glad to inform you that the production of your order is ahead of schedule, and it will be shipped on [new date].”

2)  if a customer's goods did not catch the last ship before the holiday, you can notify them like this: “Dear Mr./Ms. [Customer's Name], we are glad to inform you that we have returned to work, and all of your goods have been on schedule, we will discuss this with the forwarder and catch the latest boat. I will update the newest information for you.”

3) if a customer's cargo is on the way, you can say: “Dear xx, we have just back to the office today, and I checked the delivery for your last order:www.xxxxxx.... seems all is going well, hope you can receive it soon.”(If it is in the process of customs clearance, you can say under customs clearance; if it is still in transit, you can say still on the way.)

6. Proactively contact customers: Take the initiative to contact customers to understand new needs, confirm order details, and resolve any problems or misunderstandings that may arise during the holidays. For customers who agreed to remit money before the holidays but have not received the money, you can gently remind them to: “Regarding the project we discussed before the holiday, we hope you can arrange the deposit as soon as possible. With a lot of orders in line, timely payment will ensure we can meet your required delivery time.”

“Dear [xx], We have back from the Chinese New Year holidays I would like to share our Festival happiness here with you![You can also attach holiday greetings], during the Spring Festival, we have optimized [specific functions] for the [product] you have consulted, attached is the test video, and look forward to your feedback~"
